Job Description

The Legal Assistant/Paralegal provides support to the Senior Executives and Operations Team on a wide range of matters (i.e., file maintenance, tracking deadlines, review and preparation of documents, and coordination with outside counsel/consultants on various matters) as well as executive assistant functions (i.e., file maintenance, calendar management, greeting and attending to guests, special projects). Reporting to the SEVP/COO, the Legal Assistant/Paralegal’s responsibilities include, but are not limited to:

  • Exceptional ability to deal with sensitive, confidential and detailed material in a professional manner.
  • Provides administrative support to the SEVP/COO, including calendar management, coordinating appointments and meetings, making copies, answering and directing phone calls, and implementing and improving upon administrative processes for more efficient workflow
  • Provides administrative support to the head of investor relations, including calendar management, coordinating appointments and meetings, making copies, answering and directing phone calls, and implementing and improving upon administrative processes for more efficient workflow
  • Serve as primary editor for annual and mid-year insurance applications. Maintain electronic records regarding policies, claims, and certificates.
  • Take and assist with proper recording of Board &Board Committee minutes.
  • Prepare draft legal correspondence.
  • Serve as backup to Corporate Secretary, including taking minutes at meetings of the Boards of Directors, Board committees, and management committees; converting to draft minutes for management review; correspondence to directors and management.
  • Perform other duties as assigned.
Required Skills
    • Associates degree in related field of study required; Bachelor’s degree in related field of study preferred.
    • Paralegal Certificate preferred
    • At least five (5) years of experience as a paralegal with some litigation experience. Banking and Commercial Real Estate experience strongly desired.
    • At least three (3) years of experience as an assistant to a C-Suite executive (or law firm equivalent).
    • Advanced MS Office, Word and PowerPoint
    • Record-keeping skills
    • Organizational skills
    • Multi-tasking in a fast-paced environment
    • Significant computer and phone use.
    • Ability to travel locally as required.
    • Exceptional work ethic and team player.
    • Exceptional ability to deal with sensitive, confidential and detailed material in a professional manner.
    • Knowing when to make a decision vs. when to ask for direction
    • Expert attention to detail and problem-solving skills.
    • Highly motivated, self-driven individual who can operate independently as well as under direct supervision and take accountability for the function.
    • Strong oral and written communication skills when interacting with internal and external clients.

    • Demonstrates a commitment to Relationships F•I•R•S•T in all areas of job performance.
    • Expert ability to accurately record discussion at all Board and Committee Meetings and prioritize completion of critical and time sensitive documentation.
    • The ability to lift up to 10 lbs.
    • The ability to sit for long periods.

Required Experience
